1. AI Governance & The Memory System
Sophiena uses a sophisticated "Memory System" to remember context, preferences, and important details about your life. This allows her to be a better friend and advisor. This system is governed by strict transparency rules:

2. Third-Party AI Processing
Transparency Notice: To provide world-class intelligence, tailored responses, and emotional depth, Sophiena utilizes advanced Large Language Models (LLMs) provided by trusted third-party partners (e.g., via Poe, OpenAI, or Anthropic).
When you message Sophiena, the text of your conversation is securely transmitted to these third-party providers for processing (inference).
- We do not control these providers: While we select partners with high security standards, data sent to them is subject to their privacy policies.
- Data Minimization: We strip unnecessary metadata before transmission where possible.
- No "Public" Training: We request that our partners do not use your personal conversations to train their public/foundation models, protecting your privacy from the broader internet.
3. Feature-Specific Data Usage
🌍 Location Services (Weather & Maps)
Sophiena asks for your location only to provide immediate utility—like local weather forecasts or finding nearby places you ask for. This location data is ephemeral. It is processed to fulfill your request and then discarded. We do not build a movement history or track your location in the background.
📖 The Journal
Entries in your Journal are analyzed by Sophiena to offer insights, track mood trends, and help you reflect. This analysis is performed strictly for your benefit. Aggregated mood drifts are visualized for you, but the raw, deeply personal content of your journal is treated with the highest sensitivity and never shared with advertisers.
4. EU AI Act & Transparency
In compliance with the European Union Artificial Intelligence Act, we are transparent about the nature of our service:
- Artificial Interaction: You are interacting with an Artificial Intelligence system, not a human being. Sophiena is a sophisticated software program designed to simulate conversation and empathy.
- Emotion Recognition: Sophiena processes your text and voice inputs to infer emotional state (e.g., "sadness", "joy"). This analysis is used solely to adjust the tone of the conversation and provide appropriate companionship. It is not used for any high-risk purposes such as credit scoring, employment screening, or insurance profiling.
5. Security & Your Rights
We implement industry-standard encryption (HTTPS/TLS) for data in transit and encryption at rest for sensitive database entries.
Under GDPR and other privacy laws, you have the right to:
- Access a copy of your personal data.
- Correct inaccurate information.
- Request deletion of your account and all associated data.
- Withdraw consent for data processing at any time.
